Duties and Functions

 
MAIN DUTIES AND FUNCTIONS
 
INFORMATION AND COMMUNICATION INSTITUTE
UNIVERSITY OF MUHAMMADIYAH MALANG
 

Main duties and functions of Infokom Institute and all the divisions as it is outlined by the UMM leaders are presented as follow:


A. Infokom Institute of UMM
1.  Developing information and communication technology based on the university policy.
2.  Managing access of information and communication technology for the benefit of the entire UMM   academic community.
3. Setting integrated database and management information system based on the needs of the university and work units.
4.  Ensuring the smooth access to the internet, hotspot, and intranet networks.
5.  Implementing education, training, and practicum of information and communication technology for internal and external stakeholders.
6.  Providing data and information needed by the university and all work units
7.  Developing and managing university website as a means for spreading information the the public.
8.  Assisting the university in terms of procurement and hardware maintenance.
9.  Securing university assets such as hardware, software, and ICT product developed by the UMM.
10. Dealing with the missuse of facilities of information and communication technology in the university  environment and handing the settlement over to the rector.
11. Developing profit center unit of ICT to help the university financially.
12. Developing cooperation on information and communication technology with other parties for the university progress.
 
 
B. The Chief of Infokom Institute of UMM
 
1.   Leading the implementation of main duties and functions of Infokom given by the university.
2.  Planning the development of information and communication technology to support teaching-    learning activities, research, community service, and administrative affairs in the university.
3.   Developing strategic plans and operational plans of the institution.
4.   Controlling the implementation of the duties and functions of all the divisions in the UMM.
5.   Performing human resource development in Infokom institute.
6.   Organizing coordination vertically with the leader of the university and the work units in UMM.
7.   Reporting all the activities based on the main duties and functions to the leader of the university.
8.   Conduction periodic monitoring and evaluation of the institutional performances.
9.   Cooperating with outside parties for the institute development.
 
 
C. Secretary of Infokom Institute of UMM
 
1.   Assisting the chief of the institution in performing main duties and functions.
2.  Together with the chief of the institution in performing planning on technology and information  development in UMM.
3.   Controlling the internal operation of the institution.
4.   Planning the secretarial duties of the institution.
5.   Controlling the secretarial functions of the institution.
6.   Monitoring and controlling directly the performance of the divisions.
7.   Making periodic reports on the performance of the institution and all problems to the chief of the    institution.
8.   Preparing institutional reports to the chief.
9.   Controlling financial functions of the institution.
 
 
D. Network Division
 
1.   Developing plan for the university network system development.
2.   Controlling directly the operation of network system within the university and all the work units,      namely intranet, internet and hotspot.
3.   Organizing and maintaining cabling and switching systems.
4.   Managing bandwidth, routing and firewall.
5.   Conducting a complete network topology mapping.
6.   Coordinating another unit networks (Inherent, Jardiknas, PJJ, etc.)
7.  Supervising and directing the human resource directly in which the structure is under Network  Division.
8.   Reporting its works to the chief of the institute.
9.   Conducting coordination directly with the secretary of the institute in performing daily tasks.
 
 
E. Hardware Procurement and Maintenance Division
 
1.   Planning for hardware delelopment as required by the Infokom Institute.
2.  Providing recommendation on hardware specification and price proposed by the units to the    university leaders.
3.   Together with the university leaders through the pointed units conducting negotiation on hardware  price to be purchased.
4.  Performing maintenance on hardware and computer operation system and multimedia in the  uiversity.
5.  Supervising and directing the human resources directly in which the structure is under the    Hardware Procurement and Maintenance Division.
6.   Reporting the works to the chief of the institute.
7.   Conducting direct coordination with the secretary of the institute in performing daily tasks.
 
 
F. ICT Education Division
 
1.   Planning for education and training on infromation and communication technology for the UMM        academic community.
2.   Conducting ICT training for students, lecturers, staffs, and outsiders.
3.   Providing service for computer practicum for students, lecturers, and UMM staffs.
4.  Controlling directly the operation of multimedia classes of all the faculties, study programs, and  other work units.
5.   Carrying out teleconference activities required by PJJ or other parties in UMM.
6.   Controlling e-learning in cooperation with the Division of Information System Development.
7.  Supervising and directing the human resources directly in which the structure is under the    Education Division.
8.   Reporing the works to the chief of the university.
9.   Conducting direct coordination with the secretary of the institute in performing daily tasks.
 
 
G. Information System Development Division
 
1.    Planning for the development of integrated management information system in UMM.
2.    Developing plan of recording system, data and information secure in UMM.
3.    Coordinating and controlling directly all the management information system developed by the         work units toward integrated database recording management information system.
4.    Developing software on management information system and processing data into the forms of       informations needed by the units.
5.    Developing a system for data security and information being developed.
6.    Developing website for the university.
7.    Performing function of software instalation service for all the unites which need it.
8.    Providing service on data and information for all the work units which need it in order to support     the university development.
9.    Supervising and directing the human resources directly in which the structure is under the             Information System Development.
10.   Providing technical and operational assisstance to the managenet information system for all the     units which need it.
11.   Reporting the works to the chief of the institute.
12.   Conducting direct coordination with the secretary of the institute in performing daily tasks.
 
 
H. Business Division
1.     Developing plan on ICT profit-oriented business development in Infokom.
2.     Managing all the existing business units and in which they are to be developed, such as: internet    cafe, internet for lecturer/staffs at night, canteen, hotspot voucher, SMS Gateway, software,        and contents downloaded by users outside the campus.
3.     Developing partnership network with other parties in developing business on ICT.
4.     Supervising and directing the human resources directly in which the structure is under the              Business Division.
5.     Reporting the works periodically to the chief of the institute.
6.     Conducting direct coordination with the secretary of thye institute in performing daily tasks.
